Applies To: All nominees, artists, and participating acts involved in the current YYCMA program year.

1. Acceptance of Terms

By submitting an entry or accepting a nomination for the YYC Music Awards ("YYCMA"), you ("the Nominee" or "Artist") agree to comply with the following Terms & Conditions in full. These terms govern your participation, behavior, eligibility, and rights within the YYCMA program.

2. Eligibility and Representation

  • Nominees must meet all eligibility criteria outlined in the current year's YYCMA submission guidelines.
  • The individual or group submitting an entry confirms they have the right to represent the music, brand, and identity associated with their nomination.
  • False information or misrepresentation may result in disqualification.

3. Code of Conduct and Respect Policy

All nominees are expected to abide by the Nominee Conduct and Respect Policy, which requires:

  • Respectful behavior toward fellow artists, nominees, organizers, sponsors, partners, and the wider community.
  • A professional and inclusive attitude across all interactions—both in person and online.
  • Compliance with anti-harassment and anti-discrimination standards.
  • Avoidance of any slanderous, defamatory, or disruptive behavior toward YYCMA, its members, or associated parties.

Failure to comply may result in disqualification, removal, or revocation of awards at the sole discretion of the YYCMA Executive Committee.

4. Social Media and Public Conduct

Artists agree not to:

  • Post or share defamatory, hateful, or intentionally misleading content related to YYCMA, its nominees, or stakeholders.
  • Leak confidential event or nomination information (e.g., winners, programming details) before public announcements.
  • Use the YYCMA platform to promote hate speech, personal attacks, or unrelated political agendas.

5. Disqualification and Revocation

YYCMA reserves the right to disqualify or remove any nominee or participant for any reason including, but not limited to:

  • Breach of conduct, ethics, or community guidelines
  • Threatening or harmful behavior
  • Public misconduct or reputational harm to the YYCMA or its affiliates
  • Failure to meet eligibility or authenticity standards

Such action may be taken with or without prior notice, and all decisions made by the Executive Committee are final and not subject to appeal.

6. No Refund Policy

All entry fees, submission costs, and related charges are non-refundable, regardless of:

  • Withdrawal of nomination by the artist
  • Disqualification or removal due to misconduct
  • Changes to event format or programming
  • Disagreement with judging outcomes or decisions

7. Media Consent and Promotion

By participating, nominees grant YYCMA permission to use their name, likeness, biography, logo, and submitted materials (e.g., music, press photos) for the following purposes:

  • Marketing and promotion of the awards program
  • Event materials, media coverage, and recaps
  • Archival use and social media promotion

This consent is non-exclusive and royalty-free, and applies across all media formats.

8. Event Participation and Changes

  • YYCMA reserves the right to modify or cancel events, programming, or categories as necessary.
  • Finalists may be invited to perform, present, or speak at official YYCMA events.
  • Participation in such programming is encouraged but not mandatory, unless specified.

9. Judging Process

  • All judging is conducted by a panel of independent, qualified professionals.
  • Judges are instructed to evaluate submissions based on artistic merit, originality, and relevance to category criteria.
  • All judging decisions are confidential and final.
  • YYCMA will not provide scores, ranking details, or individual feedback.

10. Agreement and Enforcement

By entering, being nominated, or participating in any YYCMA-related event or category, the Artist:

  • Agrees to these Terms & Conditions in full
  • Acknowledges that any violation may result in removal or disqualification
  • Understands that these terms are enforceable by the YYC Music Awards Executive Committee
